Under the supervision of the Vice President, this individual will assist the Real Estate Development and Design Department with administrative and coordination tasks.

General Administrative Tasks

- Document Management: Prepare, organize, and archive real estate project documents.
- Appointment Scheduling: Manage the executive calendar, plan meetings, and coordinate travel arrangements.
- Communication: Maintain correspondence with suppliers and partners via phone, email, or mail.
- Team Support: Assist the development team in preparing presentations and reports (Word, PowerPoint).

Real Estate Development-Specific Tasks

- Real Estate Monitoring: Receive, filter, and categorize listings from real estate agents.
- Project Management: Track the progress of ongoing projects and update dashboards.
- Condominium Sales and Rentals Tracking: Keep tracking tables up to date, communicate with brokers and property managers to gather information.
- Supplier Coordination: Communicate with subcontractors and service providers to ensure deadlines are met.

After-Sales Service Management Tasks

- Claims Follow-up: Handle client claims, provide regular follow-ups, and coordinate with the Construction team to offer solutions.
- Intervention Coordination: Organize and schedule necessary interventions to address client issues.
- Satisfaction Reporting: Conduct client satisfaction surveys, analyze results to improve service.
- Document Management: Maintain client files and after-sales service reports.
- Construction Warranty Management: Update and maintain buyer files, follow up with GCR or GIR warranty providers.

Additional Administrative Tasks

- Invoice Management: Track invoices related to projects and after-sales services.
- Logistical Support for Events or Business Trips

- Event Organization: Support the planning and coordination of events (meetings, seminars, project launches).
- Booking Management: Reserve venues, accommodations, and transportation for events or travel.
- Participant Coordination: Manage registrations and communications with participants.
- On-Site Logistics: Oversee setup and smooth operation of events (equipment, catering, technology).
- Post-Event Evaluation: Collect feedback and evaluate the success of organized events.

Qualifications

- Educational Background: Degree in Administration.
- Technical Skills: Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Industry Knowledge: Basic knowledge of real estate and construction is an asset.
- Experience: Minimum 2 years in a similar role or related field.
- Language Skills: Excellent oral and written communication skills in French (English is an asset).
